You might be deterred due to the blazing heat that might make your guests uncomfortable at outdoor events. Don’t fret, we’ve got the perfect solutions on how to beat the heat.
Portable Fans
The first way to ensure comfort is by providing portable fans around the venue. Placing two or three oscillating fans will make a world of difference in guests’ comfort levels. You’re probably thinking, “but won’t this ruin the aesthetic of the event?” and everyone knows that a portable fan isn’t exactly the most luxurious decor at a party. However, you won’t want the aesthetic of your party to become known as humidity. At Orbit Event Rentals, we make sure to place all fans in areas that will keep your guests from noticing them but close enough to still feel the refreshing breeze.
Avoid Peak Sun Hours
Another precaution to keep in mind, that will help your guests stay cool, is to plan your event around the peak sun hours. With many years of experience in event planning and some common observation, we have realized that heat begins to build up at noon and rises to its peak at 3:00 PM. With this information, we also know that after 5:00 PM, the heat dissipates into the atmosphere and the Earth becomes cooler. Taking this into consideration, planning your event either before 3:00 PM or after 5:00 PM will help keep your guests cool. Another great idea is to plan your event with an inside option where guests can stay in the air conditioned building if they choose to do so.
Watch the Weather
Let’s face it, we know that the weather is always subject to change no matter how many times you look at the weather app. The best you can do is keep an eye out for a rough estimate of what the weather will be like on the date of your event. Always keep in mind that July is known to be the hottest month of the year in SoCal.
Create Shaded Areas
Give your guests the opportunity to sit, rest, and relax away from the summer sun. Shaded areas can feel up to 15 degrees cooler than areas exposed to direct sunlight, making it an invaluable addition for outdoor events. Keep this in mind when scouting for prospective venues, look around to see where the shaded areas are located. Ask around, will the shade remain throughout the entire day? Can it accommodate chairs/seating for all of your guests? Even if the venue doesn’t offer any shaded areas, you can always create your own by setting up large tents and/or gazebos which we are more than happy to provide.
Serve Cool Beverages
Ice cold drinks with a refreshing after taste to keep your guests cool is another great way to keep them from melting away. This is also a great opportunity to get creative with the aesthetic of your event. Create colorful, interesting drinks that will attract your guests even more! Some beverage ideas to consider for your next outdoor summer event:
